Computerized Maintenance Management System (CMMS) is a software tool through which one can atomize most of the functions performed by that of maintenance persons and management. Some of the functions that are available are:

| (3) | What is Effective Maintenance ? |
|
Effective maintenance refers to carrying out the maintenance activity in an effective way with planning, measuring performance of assets, scheduling, and effective work control to reduce the maintenance cost, thus improving the maintenance operations.

Maintenance management refers to the effective planning, scheduling and execution of all maintenance related tasks to effectively maintain the operation of equipment, facilities and any other assets. This will include a diverse range of tasks such as, scheduling preventive and predictive maintenance, recording breakdowns, creating work orders to carry out the maintenance, allocating resources like spares and employees, maintaining records on the equipment and the maintenance carried out, analyzing the reports and communicating to the concerned personnel.

Work Order is generated for a PM/BDM. It is an order to carry out the maintenance work, either the Preventive Maintenance or the Breakdown Maintenance.

|
A Tree structure represents the plant structure. It contains plant, locations and assets in hierarchy. Few advantages of the tree view are:
- An entire view of the plant with all its locations/sub locations and all the assets related to them, at a single place with the details displayed on a click on any items in the tree view.
- Provides the functionalities add, delete of location/sub location and asset, adding a BDM memo for an asset, finding any location/sub location or asset.

| (9) | What are MTTR and MTBF ? |
|
|
MTTR is the Mean time to repair. This is the average time to repair a machine back to acceptable operating conditions.
MTBF is Mean time between failures. It is the time between successive breakdowns of an asset.

| (1) | How does M'ManSys justify as a good CMMS ? |
|
M'ManSys software is a powerful tool for maintenance management. This will help to make the process of plant maintenance accurate and effective. The results will be better asset management and increased efficiency. The software can be used to perform the following functions:

|
|
M'ManSys can be used for a variety of industrial applications. Some typical users may be Machinery & Equipment Manufacturers, Fabrication & Job Shops, Chemical/Pharmaceuticals & Food Industry, Automotive Parts & Auto Industry, Electrical & Electronics Industries, Computer Equipment & Peripherals, Instrument Manufacturers, and Utilities such as Electricity, Transportation, etc.

| (3) | How does M'ManSys address PM and BDMs ? |
|
|
M'ManSys addresses PM and BDM in different ways. PMs can be allocated to an asset while adding an asset. This could also be done later on through the ?Edit Asset? option. All the PM details like PM name, Work type, PM start off date, frequency, duration, tasks, spare parts, associate employees with the PM, etc. are included in this PM template. PM schedules shall be generated automatically depending on the frequency indicated in the PM template. The PM activity related to any PM schedule shall be carried out only after a work order is issued for the same.
BDM is allocated to any asset only after its breakdown. BDM memo is used to enter the details like BDM name, Work type, tasks, spare parts, associate employees with the BDM etc. The duration of the BDM shall be considered from the time of allocation of a BDM till the closure of the work order. The BDM activity shall be carried out only after a work order is issued for the same.

| (4) | How can I create a Preventive Maintenance schedule for an asset ? Can I edit or delete these schedules later ? |
|
|
The preventive maintenance schedules can be created for each individual asset. This can be done at the time of the creation of the asset or at a later stage. It is possible to create more than one schedule for each asset. Each Schedule will be allocated a unique Pm Id. Once a Schedule is created it will be displayed in the schedule Calendar based on the start date and frequency of the PM set by the user.
Create a PM schedule for an asset, edit and delete them through the PM schedule tab of the asset dialog. This tab will be available to the user when they choose the Add or edit asset option. Also add spares, tasks and employees with each PM. It is also possible to edit and delete the details of the PM schedule at any time.

| (5) | How can I issue a Breakdown maintenance memo ? |
|
|
When a breakdown occurs on an asset, it is necessary to issue a Break Down maintenance memo. This can be done through the Create BD work order memo from the tools menu. Every BDM will have a unique BDM ID. Once the BDM is issued, it will be displayed in the Maintenance Schedule Calendar on the date requested in the BDM.

| (6) | How is Work Order generated and closed ? |
|
|
A Work Order shall be created through the Schedule Calendar. All the PM schedules and the BDM of all assets shall be displayed in the schedule calendar. Right click on PM schedule or BDM shall open a pop up menu wherein ?Create WO? option is provided. After selecting Create WO for any PM/BDM, Work Order window shall have 5 tabs viz. General, Spare Part, Manpower, Task and documents. Details like work order ID, generated by, Description, notes to supervisor, work order Priority, WO Start and End time, Duration, Tasks, Manpower, documents etc are to be added. This shall generate a work order.
Closing a Work Order shall be done through the Work Order View. A list of all Work Orders is provided here. Right click on any ongoing Work Order that needs to be closed shall open a pop up menu with ?Close? option. Selecting this shall open the Work Order window as above. The status of the Work Order should be changed to Close and any other details that have to be updated can be done during closure.

| (7) | Will various types of Breakdowns and its frequency, be incorporated in M'ManSys ? |
|
|

| (9) | What is a Schedule Calendar ? |
|
|
Schedule Calendar is a view of schedules in the calendar. Calendar View shows the maintenance schedules (PM and BDM) on the calendar.
The schedule calendar displays the monthly maintenance schedule for the selected asset, location, and sub location or for the entire plant. This will include all the preventive maintenance scheduled and the break down maintenance scheduled. The schedule can be viewed for up to 7 months - the current month, the previous 3 months and the next 3 months. The different categories of PM/BDM are displayed in different colors for easy recognition. The colors can be configured by the admin. It is possible to send the maintenance scheduled for a day as an email, create a work order for each maintenance - scheduled and reschedule the maintenance trough the schedule calendar.

| (10) | How does M'ManSys address the spare part consumption and inventory management ? |
|
|
Master - Spare Part, Spare Part View are used for this purpose. Details of the spare part like Spare Id, Spare Name, Quantity, supplier details etc are added for any new spare part bought and added to the store, through Spare Part tab in Master.
The spare parts are utilized for different assets during the maintenance activity. The spare Part View shall provide the details of the spare part available in the store after considering the spare part that are utilized.

| (11) | Which screen in M'ManSys showcases all the details ? |
|
|
The Schedule Calendar View provides all the details.
|

| (12) | Even if duplicate entry of data [like spare part name, asset name, etc] is allowed how does it remain unique ? |
|
|
Spare ID or Asset ID is generated automatically for every asset or spare added. The spare name, asset name can be duplicated for different spares or assets respectively. But the spare or asset shall remain unique because of the Spare Id or Asset ID respectively.

| (13) | What are Reporting Facilities available with M'ManSys ? |
|
Report View is provided for the reporting facility in M?ManSys. This view provides four separate tabbed windows with General, Preventive Maintenance, Breakdown Maintenance and Work Order. Few of the details that can be generated in M?ManSys include:
- Report of all equipment under that work area, plant line
- View showing the complete warranty details for particular selected equipment
- Report showing the complete vendor details
- Report of the depreciation and current value of all equipments
- Reports on the details of the different maintenance activities that are carried out on the different assets
- Report of all the work orders under that work area, plant line department and the status of them
- Report of Task with estimated time and cost analysis

| (14) | What is a Master View ? |
|
|
Master View showcases all the details of a plant. It has seven tabbed windows viz. Spare Part, Asset category, Department, Employee, Supplier, Task and Miscellaneous. Master View shall have total list of spare parts, asset categories present, departments, employees, suppliers and different tasks related to the plant. Any new additions in terms of spare part, new categories, employees etc shall be done through this only.

| (15) | What are the facilities available in Configuration View ? |
|
|
Configuration View includes the facilities of Shift configuration, functionality configuration and color configuration.
Shift configuration is used to assign shifts for a working day in the plant. The schedule and duration of the same can also be configured.
Functionality configuration is the view of different functions that an employee can carry out as per the employee level.

| (16) | How can I configure the shifts ? |
|
|
The Configure menu has the option to set and change the details of the shift and the working days. The shift details that can be set include number of shifts, duration of the shifts, lunch and tea break durations. It is also possible to set and change the weekly holiday and other holidays in the schedule calendar. This will help to accurately calculate the cost of the employee man-hours and overtime charges.

| (17) | What is the Field Chooser option ? How is it useful in M'ManSys ? |
|
|
Field chooser is a menu in which different KPIs are included. Field chooser provides an option to display these KPIs in the list view just by selecting. Different KPIs values are calculated, related to an asset and the same shall be displayed.

| (18) | How can I customize the list boxes to display additional fields ? |
|
|
List boxes are extensively used in the package to display the data on assets, locations, work orders, spares, PM schedules, employees, and tasks. These allow the user to easily view and select the required information. These list boxes can be customized to display fields in addition to those that are normally displayed. These provide additional information. These fields are called the Key position Indicators (KPIs). Access the KPIs through the field chooser option in the pop up menu of a list box.

| (19) | How is the PM Work Order differentiated from a BDM Work Order ? |
|
|
PM can be rescheduled whereas a BDM cannot be rescheduled.
The Work Order start time for a PM shall be the Work Order creation time. But for a BDM the start time of the Work Order shall be the time at which the break down has occurred.

| (20) | How are different types of Breakdowns addressed in M'ManSys ? |
|
|
|
|
|
| (21) | How is the Maintenance cost analysis performed ? |
|
Maintenance cost analysis is done through Work Order View. The total cost of each maintenance activity is calculated depending on the spare part cost, manpower cost and task cost. The total of all these costs shall indicate the total cost for that particular maintenance activity for an asset.
OR
M'ManSys provides for the costing of the work orders. The cost of the work orders is calculated in terms of the cost of the spares, remuneration of the employees involved and the cost of the tasks that make up the work order. The cost of the work order is the sum total of all these costs.
The Spare parts cost is total cost of all the spares required to execute the work order. This is calculated in terms of the cost per unit of the spare.
The manpower cost is the cost of the total man-hours required to execute the work order. The regular wages/hour and the overtime charges if any are taken into consideration for calculating these costs.
The cost of the task is the total cost of executing all the tasks in the work order. This will include servicing charges, cost of any annual maintenance contract for the task etc.

| (22) | How are MTTR and MTBF calculated ? |
|
|
MTTR is calculated using the formula:
MTTR = Cumulative brake down time/No. of brake downs occurred
MTTR is calculated using the formula:
MTBF = Cumulative run time/No. of break downs occurred

| (23) | What is the licensing mechanism for M'ManSys ? |
|
|
The licensing will be according to the agreement between the Axcend and the client. The Licensing mechanism will be included the server set up application. The licensing mechanism takes control of the number of clients that can be logged on to the server and the demo period for software.
Alert messages will be issued when the expiry date is approaching. If the expiry date of the demo period has been reached, it tells the user that license to use this software has expired.
Warning messages will be displayed if the user tries to tamper system date, or tries to install more number of clients to the server, etc. In such cases, the application will issue proper warning message and it allows normal program execution if the expiry date is not yet crossed.

| (24) | Is there a difference between installation of M'ManSys on the client and server ? |
|
|
There will be different set up application for M'ManSys Client and M'ManSys Server. First the user should install Server and then Client. During the installation of Server, the set up will ask for the plant name and during the installation of client the set up will ask for the server name.
|

|
| (25) | How can I back up the M'ManSys database ? |
|
|
Backing up your data properly is very important. In the event of hardware failure, fire, theft or disaster it will enable you to get up and running again quickly. M'ManSys does not have a backup command because the database would be far too large to fit onto a floppy diskette. It must be backed up using a backup program to a removable media device.
All data in M'ManSys is stored in a single file: CMMS.MDB. This is the only file to be backed up. You can always re-install M'ManSys files but if you don?t have a copy of this file then you can only re-enter all your data manually. Plan on having the capacity of being able to backup at least 100 megabytes of data for M'ManSys itself (plus the data for all your other applications).
It?s very hard to give an estimate of how much space the database will take up. It depends on number of entries and content of each entry.
We recommend an automated daily tape backup using a standard 10-tape rotation system. An automated backup ensures that you don?t forget to do a backup, as it will run automatically every night. You only have to remember to change the tape.

| (26) | How do I repair a corrupted database ? |
|
|
M'ManSys has a built in method for detecting a corrupted database and in nearly all cases will display a message indicating that the database is corrupt when it first attempts to open the database.
The database can be damaged because of various reasons including major hardware failures, improper closing of the M'ManSys system, extreme slowing down of the database transactions, etc.

| (27) | What is the best way to get started with M'ManSys ? |
|
The software has been designed to be very flexible and the user can add, edit and delete the details at any time. However, we recommend the following steps to get started initially with the package.
- The first task should be to enter the details of the spares, employees, tasks, suppliers, departments and the asset categories in the master
- Then configure the details through the configuration menu. The information, which should be configured, is the shift details, and color configuration details
- Next set the level for each employee who will be using the software to control his or her access to the various functionalities
- Create locations and sub locations and add the asset details to these
- Add spares and maintenance schedules to each asset
- Create work order for the maintenance schedule as and when needed
- Explore the other functionalities of the package

| (28) | Is there a limit to the number of equipment or facilities that can be managed with the M'ManSys ? |
|
|
No. An unlimited number of assets, locations and sub-locations can be added to the system.
|
|
|
| (29) | How can I login to the system ? |
|
|
It is necessary to have a valid user name and password to log in to the system. The user name is the employee Id of the employee that is automatically generated by the system. The password is given by the admin to each employee. The employee can later change this password.

| (30) | How can I populate the combo boxes used in the package ? |
|
|
Combo boxes, which provide drop down lists, are used extensively. This allows for ease of data entry and selection for the user. It is possible for the user to enter custom options into the various combo boxes depending on the nature of their facility and operations. This task can be done through the miscellaneous tab of the master.

| (31) | How can I add, delete or edit assets, locations and sub-locations to the software ? |
|
|
It is possible to add delete and modify the details of the assets, location or sub location at any time. However, only users with permission can perform these tasks. These permissions depend on the level of the user, which is set by the admin. Each asset, location or sub location is given a unique Id.
Add edit or delete assets through the Buttons and pop up menu options are provided in the different tabs.

| (32) | How can I maintain a record of the spares required for an asset ? |
|
|
Enter all the spare requirements of the plant in the master. Then it is possible to associate spares and the quantity of spares required with each individual asset. This task can be done at the time of creation of the asset or at any later stage. The spares can also be edited or deleted at any time. The list of spares associated with each asset is displayed in the spares list box of the Spare parts view.
Add, edit and delete the asset spares through the add asset or edit asset options. These are available in the asset view.

| (33) | How can I send the Work order list as an email ? |
|
|
The list of all work orders issued on a selected asset, location, sub location can be sent to other employees as an email. This facility is provided through the pop up menu of the work order list box in the work order view.

| (34) | How can I generate custom reports ? |
|
|
M'ManSys has options to generate reports on the asset details, work order details, preventive maintenance and break down maintenance. The user can select the details that are to be displayed in the report. Further the user can also select the particular asset, location or sub-location, and the particular work order or maintenance schedule for which a report is required. This will result in highly detailed and custom reports that will provide the user with precise information.
